Single-Workflow Tool

The one process that's causing the most pain, turned into a proper system. Deliberately narrow, on purpose.

From
₱35,000
Timeline
4–6 weeks
Revisions
2 rounds on design, 2 on the built system

Who it's for

A small business running one important process on paper, in a notebook, in a shared spreadsheet, or in a group chat, and it's breaking. Usually 2–15 staff.

You can name the pain immediately because it cost you money last week: double-booked customers, stock nobody can find, quotations rebuilt from scratch every time, jobs nobody can track.

The problem

The process works when you're watching and fails when you're not. Information lives in one person's head or one notebook. Nobody can answer a customer's question without asking someone else, and mistakes like a missed booking, a double-sold item or an unpaid invoice nobody chased all cost real money.

What you get

  • A discovery workshop that maps your current process step by step and identifies what breaks
  • A written before/after process map, often the first time your business has seen its own process written down
  • A working web system for that one workflow, with secure login and two roles (owner/admin and staff)
  • Create, view, edit, search and filter the core records
  • A dashboard showing the numbers that matter for this workflow
  • Status tracking through the workflow's real stages
  • Export to Excel or CSV, plus an activity log of who changed what and when
  • Up to 500 existing records migrated from your spreadsheet or list
  • Works on phone and desktop, built for staff to use on the floor
  • Deployed to a private URL, in your own accounts and your own database, with backups and a documented restore procedure
  • Two recorded staff training sessions and a plain-English written guide
  • 30 days of post-launch bug fixing included

What it doesn't include

  • A second workflow, which is a different tier Business Operations System

  • A public-facing website Business Website

  • A customer-facing self-service portal

  • Accounting, bookkeeping, tax computation, or BIR forms

  • Payroll

  • Payment processing inside the tool

  • Integration with software you already use, unless specified and quoted

  • A mobile app, since this is a web system that works well on phones instead of an app-store app

  • Offline mode

  • Hardware like barcode scanners, receipt printers and tablets

  • Ongoing feature development after launch Care Plans

How it works

  1. Week 0

    Discovery

A workshop with the people who actually do the work, mapping the real process. You confirm the map is accurate.

  2. Week 1

    Specification

Every screen, field and rule written down. You sign off, and that defines the scope.

  3. Week 1–2

    Design

Mockups of every screen. You approve the design.

  4. Week 2–4

    Build

The system gets built, with a progress demo each week.

  5. Week 4–5

    Client testing

You test with your real data and confirm it handles your real cases.

  6. Week 5–6

    Launch

Data migration, training, launch and handover.

What I need from you

How we keep it fast.

  1. Access to the people who do the work daily, not just the owner
  2. A named project owner on your side who can make decisions
  3. Existing data in a usable form, whether that is a spreadsheet, a list or photos of the notebook
  4. An honest description of the current process, shortcuts included
  5. Feedback within 5 working days at each gate
  6. Staff availability for two training sessions
  7. A real commitment to retire the old notebook once the system launches

Care plan

Recommended plan

Systems Support (from ₱7,000/month)

A system your staff use daily shouldn't be left unattended, so Systems Support is quoted as part of the original proposal.
